Common reasons for moving to a new accountant
There are a myriad of reasons why a small business might decide that changing accountants is the best course of action, whether due to growth and evolution within your own business or changes in your accountant’s firm. Contrary to what your current provider may suggest, the process of switching accountants is generally straightforward.
If you are experiencing the below with your current provider, it may be time for a change:
- Not proactive and misses deadlines
- Takes too long to respond
- Constant follow-ups and unclear answers
- Reliant on outdated tools and not staying up to date with legislative changes
- Not showing interest in your business
Hear from clients who switched to Xeinadin
Don’t take our own word for it – hear from one of our clients why his firm moved from its previous accountants to Xeinadin, and how our experts reversed the effects of past accounting advice to turn Apex Doma into a thriving business.
Apex Doma is an SME based in Cheshire, operating in the energy sector. Co-Managing Director Ian Pownall celebrated going over £1m turnover with his Xeinadin advisors – one of many client success stories.
How do I move to a new accountant?
It is easier than you think and making the change can be done with minimal effort, disruption and impact on your business or personal finances. The process looks like this:
- The new accountant contacts your current provider to request professional clearance
- The new provider contacts HMRC to get authorised as your accountant
- You continue doing what you do best - running your business

Frequently Asked Questions
Certainly! The decision regarding your accounting and taxation service provider is completely yours. Typically, you will have signed a letter of engagement. However, this document cannot – and should not – be used to prevent you from changing accountants, even if some returns are still pending.
If you feel your current service is not meeting your expectations, it may be time to consider a change. Signs that the relationship is not effective include having to follow up repeatedly for responses or receiving vague and unhelpful answers. You should also evaluate switching accountants if your current provider is not showing interest in your business or is not staying up to date with legislative changes. This could impact your ability to remain competitive and support business growth.
Many clients have decided to transition to our services from their previous accountants for several reasons. If your current accountant is not proactive, misses deadlines, takes more than 24 hours to respond, or relies on outdated tools and systems, it may be time for a change. Contact our team to discuss making the switch in as little as one week.
It is very straightforward! We’ll manage the entire process, including acquiring the necessary documents from your current accountant through a procedure known as professional clearance. Provided that any outstanding fees with your previous accountant are settled and you grant authorisation, the transition can be seamless and efficient.
We can get started on your transfer immediately. Once your previous accountant provides all the required information, we can proceed without delay. In many cases, we are able to have you fully set up with your new accountant within just a few days.
Generally, there are no formal penalties for switching accountants, though any outstanding fees with your current accountant will need to be settled. Some accountants may charge for transferring records or completing final services, so it is important to review your current agreement. We do not impose any additional fees for onboarding clients from their existing accountants.
You can switch to a new accountancy firm at any time. While some individuals choose to make the change at the end of the tax year or their financial year, the decision is entirely yours. Whenever you decide to move, we are here to ensure the transition to your new accountant is as smooth and straightforward as possible.
Nothing prevents you from changing accountants, even if you currently pay by direct debit. In some cases, the amount paid through direct debits may exceed the value of work completed, meaning you could be entitled to a refund.
Your new accountants will ensure any disruption is kept to an absolute minimum. You may also benefit from a fresh perspective, which can help identify potential tax-saving opportunities that may have previously been missed. Speak with one of our specialists to discover how we can support your transition while keeping your business running smoothly.
We work with both Xero and Sage and will ensure you are set up on your preferred platform as part of the onboarding process.
